Detailed Job Description
Screens telephone calls and visitors, and resolves inquiries and requests Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements
Tracks operational data in a database, including financial and other reporting metrics Uses software tools to compile data into presentation format Maintains accurate schedule of activities of the leader/executive supported, including complex meeting coordination and may include travel arrangements
Independently prepare presentations and recurring reports Coordinates special projects and department activities Coordinates office functions with other departments
Works on assignments that are semi-routine in nature where ability to recognize deviation from accepted practice is required Supports Director Orders office supplies.
Coordinate new hire and existing employee moves by establishing IT accounts, telephone extensions, etc.
Communicate with managers outside the department and across functions May communicate with outside customers and vendors Coordinates meetings both internally and externally.
Make travel and lodging arrangements as required; Maintain Managers calendar and/or daily schedules for the group Screens telephone calls, distributes mail, updates contact lists and maintains literature room Provides back-up telephone coverage for the office as needed Types letters, reports and other correspondence as required Coordinates and implements special projects, maintains confidential files, attends staff meetings and takes as well as distributes minutes and follow-ups on action items Performs other related duties as required
